How We Work: Why You'll Hear Back From Us in Minutes

By Mike Ferrante, Broker Associate, Mike Team at LPT Realty

If you've ever wondered why some buyers and sellers seem to get answers immediately while others spend days waiting for callbacks, the difference usually comes down to systems. Here's how we handle responsiveness on the Mike Team and why it matters.

What actually happened two days ago

A buyer relocating to Northeast Ohio filled out a form on one of our Google ads. I messaged her back in under a minute. Her first response was something like "Wow, that was quick." That one minute did more for her confidence in working with us than anything I could have said about our experience or our reviews. By the end of that conversation I knew what she did for work, what she was looking for, and how she wanted to finance it. She signed our buyer agreement electronically within a minute of receiving it. My teammate showed her houses the next morning, I showed her more that afternoon. Two days, and she was actively touring homes. That is a system, not just luck.

This is a policy and a system

I do not think I am naturally more responsive than any other agent. What I have is a setup that makes slow responses the exception instead of the norm. Every lead source we use, our website, our Google ads, our listings, routes straight to a phone that gets checked constantly. Text is our default first move rather than a phone call, because it is the fastest way to actually reach someone and get an answer back. If you text us, you get a hold of an actual person, rather than having to wait in a queue.

Why we lean on text first

I have watched agents leave a voicemail, wait, leave another voicemail, and never hear back. A phone call is a bigger ask of someone's time than a text, and most people would rather respond to something short they can answer in ten seconds between meetings. So when you reach out, expect a text back, not a game of phone tag. If you'd rather talk it through, let us know and we will call. What we are not going to do is make you wait for a callback window that never arrives.

What happens after you respond

Once we have talked, we do not let paperwork slow things down. Our buyer and listing documents are set up as templates ahead of time, so producing a signable buyer agreement or a listing disclosure takes minutes. That is exactly why that Google lead was signed and scheduled inside of 48 hours. The tools do the busywork, but the conversation is still real.

We use a real showing service, not a phone tag

When you are ready to see a home, we are not relying on another agent picking up their phone. Our listings run through a showing scheduling service so any agent can request a time and get confirmed automatically, day or night. If you are the buyer, that means faster access to homes. If you are selling with us, that means more agents can get their clients in the door, which means more showings and more offers.

Why this matters more in a competitive market

In Northeast Ohio right now, a well-priced home can move fast. A buyer who has to wait two days for a callback can lose a house to someone who didn't. A seller whose agent is slow to confirm showings loses buyers to homes that were easier to see. Speed isn't just nice to have in todays market, it is essential.
